None of it talks to each other.

Sales are in the accounting tool and jobs are in a spreadsheet. Updates arrive on WhatsApp, and the rest is in people’s heads. You end up as the human filing cabinet, the one place where it all comes together.

01The god-tier spreadsheet

By the time it’s finished, it’s out of date.

Someone spends hours pulling numbers out of each system and pasting them in, or you burn a Saturday doing it yourself. Either way you’re reacting after the fact, and nobody is sure which version is the latest.

02It lives in someone’s head

When it gets busy, things slip through.

You find out what’s going on by chasing people on WhatsApp. The job that slips through is the one that lived in someone’s head and nowhere else.

It breaks when the person who built it leaves.

She knew which client was which and how every number was put together. Then she resigned, and you found out how much was only in her head. Now you’re piecing it together from her old files.

Most businesses this size already run several apps that don’t talk to each other, so someone types the same details in three places. And a dashboard app can only show what your spreadsheets say.

Hiring helps. But then everything goes through them instead of you, and when they leave, it walks out the door with them.

A 2024 Intuit survey of 630 US businesses with 10 to 99 staff found they spend about 25 hours a week typing in data and matching numbers across apps. One delivery business I work with was paying someone just to type up a 6pm report.

A delivery business doing about 80 jobs a day with 6 drivers kept its jobs in spreadsheets and its drivers on a separate app, and paid someone to type up the day at 6pm. I built them one system instead: the office books a job, the driver closes it with photos of the signed invoice, and each customer sees their own orders as they move. The code and the data are theirs at handover.

Once your numbers are connected and checked, I can build a custom app on top of them, like the loan tracker I built for the mortgage brokerage I work in. Automations only work once the workflow underneath is connected, so that part always comes first.

    We go through every place your numbers live. I write down what “done” means in one sentence, then I quote.

    I set it all up on your own accounts, so you hold the passwords and can export everything as files.

  4. Your screen goes live.

    Usually about 4 weeks after the scoping call. Your team gets recorded walkthroughs, so it keeps working even if I disappear.
